A QuickBooks file can still function even with months of accumulated errors. The problem arises when you need reliable reports, tax preparation, or to understand why balances don't match.
1. The bank accounts are not reconciled
If the last reconciliation was several months ago, there may be missing, duplicate, or incorrectly dated transactions.
2. The QuickBooks balance does not match the bank statement.
A persistent difference may indicate unrecorded movements, duplicates, or incorrectly made adjustments.
3. There are many uncategorized transactions
Transactions pending for months render reports useless and complicate the closing of the period.
4. There are old invoices that have actually already been paid.
When a payment is not applied correctly, an invoice may continue to appear open even though the customer has already paid.
5. Duplicate income or expenses appear
Duplicates can distort the Profit & Loss and make the business appear to have earned or spent more than it actually has.
6. The Balance Sheet has strange balances
Negative accounts, loans that don't change, or old balances can be signs of incomplete records or incorrect classifications.
7. Nobody has checked the books in a long time.
If only transactions have been added without reconciliation or report review, it's advisable to evaluate the file before continuing to accumulate months.
A cleanup doesn't mean erasing everything and starting over. The goal is to identify what's wrong, correct it with evidence, and leave a more reliable foundation to move forward.
